1Acceptance of Terms

By creating an account, booking an appointment, or otherwise using the dentech patient portal, you agree to be bound by these Terms & Conditions and by our Privacy Policy below. If you do not agree with any part of these terms, please do not use the portal — you're welcome to book an appointment by phone or in person instead.

2Using the Patient Portal

The portal lets you book and manage appointments, view your dental records, and update your contact details. You agree to use it only for its intended purpose, and not to attempt to access another patient's account or records.

3Account Registration & Security

• You must provide accurate, current information when creating your account, and keep it up to date.
• You're responsible for keeping your password confidential and for all activity that happens under your account.
• Let us know right away if you suspect unauthorized access to your account.

4Appointments & Cancellations

Appointments booked through the portal are subject to confirmation by our staff. We ask that you cancel or reschedule at least 24 hours in advance whenever possible, so the slot can be offered to another patient. Repeated no-shows may affect your ability to book online.

5Accuracy of Medical & Dental Information

The medical history and personal details you provide help our dentists give you safe, appropriate care. Please make sure this information is accurate and complete, and update it if anything changes — an allergy, a new medication, a change in condition.

6Fees & Payment

Treatment fees are communicated to you before a procedure begins. Prices shown on the portal or website are estimates and may vary based on your specific case, as assessed by your dentist.

7Limitation of Liability

We do our best to keep the portal accurate and available, but it's provided "as is" without warranties of any kind. dentech is not liable for delays, data loss, or interruptions caused by factors outside our reasonable control.

8Changes to These Terms

We may update these Terms & Conditions from time to time to reflect changes in our services or applicable law. Continued use of the portal after an update means you accept the revised terms.

1Information We Collect

To provide dental care and run your portal account, we collect:

• Personal details — name, birthday, sex, mobile number, email address, and home address.
• Account credentials — your email/patient code and a securely hashed password. We never store your password in plain text.
• Dental & medical records — treatment history, chart notes, prescriptions, X-rays, and related clinical data recorded by our dentists.
• Appointment & billing information — booking history, attendance, and payment records for services rendered.
• Portal usage data — basic session information needed to keep you securely signed in.

2How We Use Your Information

• To schedule, confirm, and manage your dental appointments.
• To provide safe, informed treatment and maintain accurate clinical records.
• To communicate with you about appointments, treatment updates, or account activity.
• To process billing for services rendered.
• To improve our clinic's services and the patient portal experience.

We do not use your dental or medical records for marketing purposes.

3How We Protect Your Data

• Passwords are stored using industry-standard one-way hashing — not saved as plain text, and not visible to our staff.
• Access to patient and clinical records is restricted to authorized clinic staff who need it to provide your care.
• All data is stored on secured, access-controlled systems, with input validated to guard against common security issues.

4Data Sharing & Disclosure

We do not sell, rent, or trade your personal or dental information. We only share it:

• With the dentists and staff directly involved in your treatment.
• When required by law, court order, or a legitimate request from a health authority.
• With your explicit consent — for example, if you ask us to send records to another clinic.

5Data Retention

We retain your dental and medical records for as long as your account is active and for a reasonable period afterward, in line with standard recordkeeping practice for dental clinics, so your treatment history remains available if you return to us.

6Your Rights

• You can review and update your contact details anytime from your portal profile.
• You may request a copy of your dental records, or ask us to correct inaccurate information.
• You may ask us to close your portal account. Clinical records may still be retained as required by applicable recordkeeping rules, even after account closure.

7Cookies & Session Data

The portal uses a small session cookie to keep you signed in securely while you browse. It does not track you across other websites, and no third-party advertising cookies are used.

8Children's Information

Where a patient is a minor, their portal account and records are managed by a parent or legal guardian, who is responsible for the accuracy of the information provided.

9Changes to This Policy

We may update this Privacy Policy as our practices evolve. The "last updated" date at the top of this page reflects the most recent revision, and material changes will be highlighted the next time you sign in.
